Bad Debt Write-Off Policy and Approval Form

About this document

What it’s for

Some customer debts will never be paid. Writing them off at the right time keeps the accounts accurate and allows the business to reclaim the VAT it paid over to HMRC on the sale, through VAT bad debt relief. This policy sets out the recovery steps that must be tried first, who can approve a write-off, and the records needed to support the VAT and tax claims.

When to use it

  • When a debt is significantly overdue and normal credit control has failed
  • When a customer goes into liquidation, administration or bankruptcy, or disappears
  • At each month-end or year-end review of aged debtors

The document is laid out in the sections below. Each one comes with a plain-English guidance note explaining what it does and what to change.

Also included

  • Schedule 1 – Bad debt write-off approval form
  • Schedule 2 – Bad debt register

How to complete it

  • Set the approval limits and timescales in sections 3 and 4 to suit your business
  • Complete the approval form in Schedule 1 for each write-off and keep the evidence
  • Record every write-off in the register in Schedule 2 and claim VAT bad debt relief at the right time

Key points to check

  • VAT bad debt relief can only be claimed once the debt is more than six months overdue and has been written off in your VAT account
  • Writing off a debt in the books does not stop you continuing to recover it – and any later recovery must be accounted for
