Budget and Cash Flow Forecast

About this document

What it’s for

A structured Word template for preparing an annual budget (expected income and costs) and a 12-month cash flow forecast (the actual money in and out of the bank), with an assumptions register, a capital spending and funding plan, scenario testing and a monthly budget-versus-actual review. It is ideal for presenting to directors, trustees, lenders, investors or grant funders.

When to use it

  • Before the start of each financial year
  • When applying for a loan, overdraft, grant or investment
  • When starting a business, or planning a major change such as new premises, staff or equipment
  • When cash is tight and you need to see the pinch points in advance

What’s inside

The document is laid out in the sections below. Each one comes with a plain-English guidance note explaining what it does and what to change.

  • 1. Summary
  • 2. Key assumptions
  • 3. Sales forecast by stream (months 1 to 12)
  • 4. Budget – profit and loss (months 1 to 12)
  • 5. Cash flow forecast (months 1 to 12)
  • 6. Capital expenditure plan
  • 7. Funding and facilities
  • 8. Scenarios and sensitivity
  • 9. Key risks and how they will be managed
  • 10. Monthly review – budget versus actual
  • 11. Notes and approval

How to complete it

  • Start with the assumptions in section 2 – every figure should trace back to one
  • Replace “Month 1” etc. with your actual month names (for example April 2027)
  • Complete the budget first, then convert it into cash timing for the forecast
  • Update the forecast monthly with actual figures and roll it forward
  • If you prefer formulas, build the same layout in a spreadsheet and use this document as the narrative and sign-off

Key points to check

  • Profit is not cash: VAT, loan repayments, capital spending and payment delays all affect cash differently from profit
  • Build in April increases for wages, employer National Insurance and pension contributions
  • Show a worst-case scenario – lenders expect it
