Business Proposal Template

About this document

What it’s for

A complete proposal you can tailor for a prospective client after a discovery conversation. It follows a proven structure – their situation, your recommended solution, scope, timetable, pricing options, proof, and an easy next step – so the client can say yes with confidence.

When to use it

  • When a client has asked you to put forward a solution, not just a price
  • For tenders and competitive pitches where you need to stand out
  • Where the work can be offered at different levels (good, better, best)

What’s inside

The document is laid out in the sections below. Each one comes with a plain-English guidance note explaining what it does and what to change.

  • 1. Executive summary
  • 2. Your situation and objectives
  • Where you are now
  • The challenges you described
  • What success looks like for you
  • 3. Our recommended approach
  • 4. Scope of work
  • Included
  • Not included
  • What we will need from you
  • Assumptions
  • 5. Timetable
  • 6. Investment and options
  • Payment terms
  • 7. Why [YOUR BUSINESS NAME]
  • Case study: [CLIENT OR DESCRIPTION, E.G. “A 20-PERSON MANUFACTURER IN [COUNTY]”]
  • What our clients say
  • Your team
  • 8. Risks and how we will manage them
  • 9. Next steps

How to complete it

  • Write sections 1 and 2 in the client’s own words from your discovery notes
  • Fill in the scope, exclusions and assumptions carefully – they protect you later
  • Price each option, delete any you do not want to offer, and set an expiry date
  • Attach your terms of business and send as a PDF, then follow up (see the Quotation Follow-up Letters)

Key points to check

  • Every claim, statistic and testimonial must be true and verifiable
  • A proposal becomes a contract once accepted – make sure it says what you mean
