Client Onboarding Checklist

About this document

What it’s for

An internal practice checklist that takes a new client from first enquiry to the first piece of work, so that nothing required by your professional body, the money laundering regulations, HMRC or Companies House is missed, and so that you have a record of each step for monitoring visits.

When to use it

  • Every new client, including family members and connected businesses of existing clients
  • When an existing client adds a new entity (for example a new company or a rental property partnership)
  • As a file review tool for client files taken on before you used it

What’s inside

The document is laid out in the sections below. Each one comes with a plain-English guidance note explaining what it does and what to change.

  • Client details
  • Section A – Acceptance decision
  • Section B – Money laundering checks (client due diligence)
  • Section C – Engagement and terms
  • Section D – HMRC authorisations
  • Section E – Companies House (companies and LLPs)
  • Section F – Information and systems set-up
  • Section G – Welcome and first work
  • Section H – Sign-off

How to complete it

  • Complete the client details table first
  • Tick each item, or write “N/A” and a reason
  • Do not start chargeable work until Sections B and C are complete
  • Have the responsible principal sign off Section H

Key points to check

  • Your firm-wide risk assessment and anti-money laundering procedures take priority over this checklist
  • HMRC and Companies House processes change – check current steps
