Complaints Handling Procedure for Accountancy Firms

About this document

What it’s for

A written procedure for receiving, investigating, resolving and learning from client complaints. It reflects what professional bodies expect of member firms, includes the data protection complaints duty that applies to all controllers from 19 June 2026, and comes with a client-facing summary, template acknowledgement and final response letters, a complaint record form and a register.

When to use it

  • As your firm’s complaints policy, referred to in every engagement letter
  • Whenever a client expresses dissatisfaction about your service, fees or conduct
  • To show your professional body or supervisor that complaints are handled properly
