Email Marketing and Newsletter Consent Wording Pack

About this document

What it’s for

A practical wording pack for building and using a lawful email and SMS marketing list. It explains which rule applies to which contact, then gives copy-and-paste wording for sign-up forms, checkout opt-ins, the soft opt-in (including the new charity soft opt-in), B2B contacts, email footers, unsubscribe pages, privacy notices and re-permission campaigns, with a consent record template and checklist.

When to use it

  • Setting up a newsletter or website sign-up form
  • Reviewing your existing list before a campaign
  • Charities wanting to use the charitable purpose soft opt-in

What’s inside

The document is laid out in the sections below. Each one comes with a plain-English guidance note explaining what it does and what to change.

  4. The commercial soft opt-in
  5. The charitable purpose soft opt-in

  8. Preference centre wording
  9. Privacy notice – marketing section
  10. Re-permission and list clean-up
  11. Consent records

How to complete it

  • Use the decision table in section 2 to choose the right basis for each type of contact
  • Copy the wording you need and replace the placeholders
  • Set up your consent records using the template in section 11
  • Work through the checklist in section 12 before each campaign

Key points to check

  • PECR fines rose to UK GDPR levels (up to £17.5 million or 4% of global turnover) from 5 February 2026
  • Check the ICO’s current direct marketing guidance before relying on the soft opt-in

Our templates are professionally structured starting points for UK businesses, not legal advice. For anything complex, unusual or high-value, have your final version checked by a solicitor.
