Final Demand Letter

About this document

What it’s for

The last letter from your accounts team before the matter becomes formal debt recovery. It sets a short final deadline, states the total due (including any interest and compensation you are claiming), and explains exactly what will happen next if payment is not made.

When to use it

  • After at least one or two reminders have been ignored, or promised payments have been missed
  • Before a Letter Before Action, a debt recovery agency or court proceedings
  • When you need a clear record that the customer was warned

What’s inside

The document is laid out in the sections below. Each one comes with a plain-English guidance note explaining what it does and what to change.

  • A final demand with a clear deadline for payment
  • Outstanding invoices and the total due
  • If payment is not received by the deadline – the next steps you will take
  • If the customer disputes the debt or cannot pay

How to complete it

  • Choose whether you are claiming interest and compensation now (Option B) or keeping it in reserve (Option A)
  • Complete the summary table – every figure must be correct and match your ledger
  • Choose the next-step option that you will genuinely follow
  • Diary the deadline and act on it the next working day

Key points to check

  • For consumer debtors, a court claim must be preceded by a letter that complies with the Pre-Action Protocol for Debt Claims (see the Letter Before Action in this pack)
  • Do not exaggerate the consequences or threaten things you cannot lawfully do (such as “bailiffs next week” or telling the customer’s clients) – that can be unlawful harassment and will undermine your case
  • Never threaten insolvency proceedings for a disputed debt
