Fixed Asset and Capitalisation Policy with Asset Disposal Form

About this document

What it’s for

Without a clear policy, businesses either expense items that should be treated as assets or keep assets on the books long after they have been sold or scrapped. This policy sets a capitalisation threshold, depreciation rates and the records needed for the fixed asset register, and makes sure disposals are approved and recorded – including the capital allowances and VAT consequences.

When to use it

  • When setting up the accounting records, or before the year-end
  • When buying, moving, selling or scrapping equipment, vehicles or computers
  • For an annual physical check of assets against the register

What’s inside

The document is laid out in the sections below. Each one comes with a plain-English guidance note explaining what it does and what to change.

  1. Purpose
  2. What is capitalised
  3. Asset register and tagging
  4. Depreciation
  5. Capital allowances
  6. Safeguarding and transfers
  7. Disposals
  8. Annual verification

Also included

  • Schedule 1 – Asset addition form
  • Schedule 2 – Asset disposal form
  • Schedule 3 – Annual asset verification record

How to complete it

  • Set your capitalisation threshold and depreciation rates in sections 2 and 4
  • Use Schedule 1 when buying an asset and Schedule 2 when disposing of one
  • Complete the annual verification in Schedule 3 and update the register

Key points to check

  • Accounting depreciation is not allowed for tax – capital allowances are claimed instead
