Gift Aid Declaration Forms and Gift Aid Policy

About this document

What it’s for

Everything a small charity needs to claim Gift Aid correctly: a policy setting out the rules and controls, and forms that capture the information HMRC requires. The declaration wording follows the content HMRC requires and its model declarations, including the required explanation of the donor’s tax position.

When to use it

  • Before making your first Gift Aid claim, or to tidy up existing arrangements
  • For one-off gifts, regular donors, sponsored events and telephone or face-to-face declarations
  • Alongside the Gift Aid Small Donations Scheme for small cash and contactless gifts

What’s inside

The document is laid out in the sections below. Each one comes with a plain-English guidance note explaining what it does and what to change.

  2. Responsibilities
  3. Which donations qualify
  4. Gift Aid declarations
  5. Sponsored events
  6. Gift Aid Small Donations Scheme
  7. Making claims
  8. Records

Also included

  • Donor benefits
  • Please let us know if you:

How to complete it

  • Add your charity’s full name to every form – HMRC requires the declaration to name the charity
  • Choose the forms you need and delete the others
  • Have the trustees approve the policy and name the person responsible for claims
  • Keep completed declarations for the period set out in the records section

Key points to check

  • Check HMRC’s current model declarations and guidance (Charities: detailed guidance notes, Chapter 3) before printing, as wording can be updated
  • Your charity must be recognised by HMRC for tax purposes and registered for Charities Online
