Grant Agreement and Grant Acceptance Terms

About this document

What it’s for

A grant agreement written from the point of view of a charity or community group receiving a grant. Use it where a funder has no standard terms and asks you to propose them, to formalise a grant from a local business, parish council or smaller trust, or as a checklist to compare against a funder’s own terms before you sign.

When to use it

  • Grants where the funder has not provided its own agreement
  • Restricted funding for a defined project with outcomes and reporting
  • Reviewing a funder’s terms – compare each clause and negotiate where theirs is harsher

How to complete it

  • Complete Schedule 1 (project and outcomes) and Schedule 2 (budget and payments) first
  • Agree the reporting timetable in Schedule 3 with the funder
  • Check that the trustees have approved accepting the grant and its conditions
  • Have the agreement signed by someone authorised for each party, then return Schedule 4

Key points to check

  • Public sector funders may need subsidy control and procurement checks
  • A grant is normally outside the scope of VAT – if the funder receives services in return, take advice
