Inventory and Schedule of Condition

About this document

What it’s for

A detailed inventory and schedule of condition to complete at or just before the start of a tenancy. It records the condition and cleanliness of each room, the contents, meter readings, keys and safety checks, and gives the tenant a fair chance to comment. Deposit scheme adjudicators rely heavily on documents like this.

When to use it

  • At the start of every new tenancy, furnished or unfurnished
  • When a new tenant joins an existing joint tenancy (consider a mid-term update)
  • As the baseline for the Check-out Report in this pack

What’s inside

The document is laid out in the sections below. Each one comes with a plain-English guidance note explaining what it does and what to change.

  • Condition and cleanliness key
  • General cleanliness and overall condition
  • Meter readings
  • Keys, fobs and security devices
  • Safety checks on the day
  • Room-by-room schedule
  • Entrance hall, stairs and landing
  • Living room
  • Kitchen
  • Bedroom 1
  • Bedroom 2
  • Bathroom / shower room / WC
  • Garden, exterior and outbuildings
  • Appliance manuals and documents left at the property
  • Declaration

How to complete it

  • Complete it on the day the tenant moves in or as close as possible, after cleaning and before keys are handed over
  • Describe, do not just grade – “cream carpet, 5cm stain by window” beats “fair”
  • Take dated photographs and video and cross-refer them in the “Photo ref” column
  • Give the tenant a copy and [7] days to add comments, then both sign
