Month-End Bookkeeping Checklist and Bank Reconciliation Record

About this document

What it’s for

A working checklist that takes a bookkeeper through every step of closing a client’s month – collecting records, bank and card reconciliations, sales and purchase ledgers, payroll, CIS and VAT, control accounts and adjustments – with a formal bank reconciliation record and sign-off by a reviewer.

When to use it

  • Every month (or quarter) for each bookkeeping client
  • Before preparing a VAT return, MTD quarterly update or management accounts
  • As evidence of review for your quality control and professional body monitoring

What’s inside

The document is laid out in the sections below. Each one comes with a plain-English guidance note explaining what it does and what to change.

  • Client and period details
  • Section A – Records received from the client
  • Section B – Bank, cards and cash
  • Section C – Sales and customers
  • Section D – Purchases and suppliers
  • Section E – Payroll, pensions and CIS
  • Section F – VAT and tax
  • Section G – Month-end adjustments
  • Section H – Balance sheet reconciliations
  • Section I – Reporting and closing the period
  • Section J – Review and sign-off
  • Reconciliation
  • Schedule A – Outstanding receipts (lodgements not yet credited)
  • Schedule B – Outstanding payments (unpresented payments)
  • Bank feed and statement checks

How to complete it

  • Complete one copy per client per period; tick, or mark N/A with a reason
  • Complete a bank reconciliation record for every bank, card, loan and payment-platform account
  • Investigate every difference – the reconciled difference must be nil
  • Have a second person review and sign Section J and the reconciliation

Key points to check

  • Deadlines for PAYE, CIS, pension and VAT payments – check the current dates each year
  • Your engagement letter defines what you do and what the client does – adapt the checklist to it
