Quotation with Terms

About this document

What it’s for

A ready-to-use quotation for goods, services or both – for example building or installation work, a design project, an event or equipment supply. It sets out what is and is not included, the price with VAT shown clearly, payment stages, timescales and how long the price is held, and includes an acceptance form and quotation terms so that a binding contract on your terms is formed when the customer accepts.

When to use it

  • Whenever a customer asks for a fixed price before they commit
  • For one-off jobs and projects, for business or consumer customers
  • In place of an informal email quote, which often leaves out key terms such as exclusions and payment stages

  • 4. Assumptions and exclusions

  • Model cancellation form (consumer customers)

How to complete it

  • Fill in your business details, the customer’s details and the quote number and dates
  • Describe the scope clearly in section 2, and list assumptions and exclusions in section 4 – most disputes arise here
  • Complete the price table and payment stages, and check VAT is shown correctly for the type of customer
  • Send it as a PDF and keep a copy; when the customer signs and returns the acceptance form, a contract is formed

Key points to check

  • For consumers, show prices including VAT, and if the contract is agreed away from your premises or at a distance the customer usually has a 14-day cancellation right
  • Do not start work for a consumer within the cancellation period unless they have expressly asked you to (in writing)
  • Check the quote validity period protects you from rising material costs
