Salon Complaints and Refunds Policy

About this document

What it’s for

A complete complaints and refunds policy for salons, spas and clinics. It explains clients’ legal remedies for services (repeat performance and price reduction) and goods, sets out a two-stage complaints procedure, and includes an allergic and adverse reaction procedure, plus forms and a log.

When to use it

  • As your standard policy for staff and, in summary, for clients
  • When a client is unhappy with a treatment, a product or how they were treated
  • When a client has a reaction to a product or treatment

How to complete it

  • Insert names, contact details and timescales
  • Tailor the remedy guide in Appendix D to your treatments and prices
  • Check the helpline numbers and your insurer’s notification deadline
  • Train all staff and self-employed practitioners on sections 7 to 11

Key points to check

  • You cannot exclude clients’ statutory rights – “no refunds” notices are unlawful for consumers
  • Do not admit liability for an injury before speaking to your insurer
