Second Payment Reminder Letter

About this document

What it’s for

A second, firmer letter for a business customer who has not paid after a first reminder. It stays professional and leaves room to resolve any problem, but makes the deadline clear and warns about the account being placed on hold and statutory interest and compensation being added.

When to use it

  • About 7–14 days after the first reminder, if the invoice is still unpaid and there has been no satisfactory reply
  • When a promised payment date has been missed
  • Before the Final Demand Letter in this pack

What’s inside

The document is laid out in the sections below. Each one comes with a plain-English guidance note explaining what it does and what to change.

  • A firmer second reminder for an invoice that is still unpaid
  • Invoice details and a new payment deadline
  • What happens next if the invoice is not paid
  • If there is a problem – an invitation to raise disputes or agree a plan

How to complete it

  • Choose one of the opening options and one of the account options, and delete the rest
  • List every overdue invoice in the table, or attach a statement of account and refer to it
  • Make sure the deadline date is a real calendar date (normally 7 days from the letter)
  • Only mention steps you are genuinely prepared to take

Key points to check

  • Statutory interest and compensation can only be claimed from business customers – remove those references for consumers
  • If the customer has raised a genuine query, deal with it first rather than sending this letter
  • Keep a copy and note the date sent on the account
