Statement of Account Letter

About this document

What it’s for

A monthly or ad-hoc statement of account for a customer, with a short covering letter. The statement lists every invoice, credit note and payment for the period, shows the balance brought forward and carried forward, and analyses the balance by age so the customer can see at a glance what is overdue.

Regular statements prompt payment, catch missing invoices and unallocated payments early, and give you useful evidence if a debt is later disputed.

When to use it

  • Monthly, for every customer with a balance on their account
  • When a customer asks for a statement or a balance confirmation (for example for their year-end audit)
  • When you need to reconcile differences between your records and the customer’s
  • As an enclosure to reminders, final demands and letters before action

What’s inside

The document is laid out in the sections below. Each one comes with a plain-English guidance note explaining what it does and what to change.

  • A covering letter with the customer’s statement of account
  • Statement of account table
  • How to pay
  • How to raise queries
  • Reconciliation and confirmation slip for the customer to return

How to complete it

  • Choose the covering letter option that suits the situation
  • Export the transactions from your accounting system, or type them into the table
  • Check the running balance and the ageing analysis add up to the closing balance
  • Send to the customer’s accounts payable contact, ideally as a PDF
