Trade Quotation and Estimate with Terms

About this document

What it’s for

A ready-to-use quotation (fixed price) or estimate (best guess) for trade and building work, followed by short terms of business. Clear scope, assumptions and exclusions are the best protection against disputes about extras. The acceptance form turns the quote into a contract.

When to use it

  • Pricing small and medium jobs for homeowners, landlords and businesses
  • Where a full building contract would be too heavy – roughly up to [£25,000]
  • For larger domestic jobs, attach it to the Building Contract for Minor Works instead

  • About us

How to complete it

  • Choose Quotation or Estimate and delete the other wording throughout
  • Itemise the work, list assumptions and exclusions
  • Show the total including VAT for homeowners
  • Send with the terms; for homeowners visited at home, include the cancellation information

Key points to check

  • A quotation is binding; an estimate is not, but must still be reasonable
  • Price displays to consumers must include VAT and unavoidable charges
  • Keep the validity period short if material prices are volatile
