Written Statement of Terms for Existing Tenancies

About this document

What it’s for

Tenancies that existed on 1 May 2026 became assured periodic tenancies under the Renters’ Rights Act 2025. Landlords had to give tenants written information by 31 May 2026: the government’s Information Sheet where the tenancy was wholly or partly in writing, or a full written statement of terms where it was purely oral. This pack lets you do either, late if necessary, and prove you did it.

When to use it

  • Part A – letter for written tenancies, enclosing the Information Sheet
  • Part B – letter and written statement for oral (unwritten) tenancies
  • Part C – record of service, for every tenancy, kept on file
  • Also suitable as a stand-alone written statement for a new tenancy where you do not use a full agreement

What’s inside

The document is laid out in the sections below. Each one comes with a plain-English guidance note explaining what it does and what to change.

  • 1. The parties and the property
  • 2. Rent
  • Statement about rent increases
  • 3. Bills paid to the landlord
  • 4. Deposit
  • 5. Ending the tenancy
  • Minimum notice the tenant must give
  • Statement about security of tenure
  • 6. The landlord’s obligations
  • Fitness for human habitation
  • Repairs
  • Electrical safety
  • Gas safety
  • 7. The tenant’s rights to request consent
  • Pets
  • Improvements for a disabled person (section 190 Equality Act 2010)
  • 8. Supported accommodation
  • 9. Other agreed terms
  • Service checklist

How to complete it

  • Work out which part applies using the first guidance note
  • Download the current Information Sheet PDF from gov.uk – do not retype or edit it
  • Serve every named tenant separately and record how and when
  • If the deadline has passed, serve now – do not wait
