Annual Fee Increase Planner

Overview

Most accountancy and bookkeeping practices put fees up once a year, but very few do it the same way twice. Some clients get the standard percentage, some are forgotten for three years, and the ones who cost the most time are often the ones who never get a proper increase. This planner applies one set of clear rules to your whole client list – a base uplift linked to inflation and wages, catch-up for missed reviews, an uplift where the work has grown, and an extra uplift for clients who don't cover the cost of the time spent on them – then rounds every new fee to a clean monthly Direct Debit amount. It shows the effect on fee income before and after the clients you might lose, which clients you should speak to personally, and produces the data and wording for your fee letters.

Who it is for

Made for people like you

  • Example – text
  • Practice owners and partners – A defensible, consistent fee review for every client, with total fee income before and after expected losses.
  • Practice managers – One list of new fees, new Direct Debits and letters ready to go, plus a Review List of the conversations to have first.
  • Bookkeepers and small firms – A quick way to stop under-charging the clients who take the most time, without a spreadsheet for every client.

Quick start

Up and running in minutes

  1. Example – text
  1. Settings – the rules – Enter your practice name, the date new fees start, inflation and wage figures, your blended cost per hour and target margin, rounding and the review triggers. Check the minimum fees, partner names and service packages on the right.
  2. Clients – your list – Paste or type one row per client: fee, monthly Direct Debit, date and % of the last increase, hours from your time records, whether the work has become more complex, and how price-sensitive the client is.
  3. Fee Review – check the results – Every client now has a proposed new fee. Sort or filter by Increase % or Rule applied to see what the rules have done.
  4. Review List – make the calls – Speak to the clients flagged for a personal review. Record any decision using the Override columns on Fee Review (Freeze fee, Set uplift % or Set annual fee) with a reason.
  5. Dashboard and Impact Analysis – Check the effect on total fee income, each partner's portfolio and each service. Adjust the Settings until you're happy with the balance between increase and risk.
  6. Letters – Edit the wording on Letter Template, preview a few clients, then mail-merge the Letter Data range into Word.
