Directors' Loan Account Tracker

Overview

A director's loan account (DLA) records everything that passes between a company and its directors that isn't salary, dividends paid out or a properly claimed expense: money taken out, personal bills paid by the company, money the director puts in, and salary, bonuses or dividends credited to the account instead of being paid. When a director owes the company money at the year end, the company may have to pay s455 tax, and a loan over £10,000 can create a taxable benefit in kind. This workbook keeps the running balance for up to four directors and works out all of that for you.

Who it is for

Made for people like you

  • Example – text
  • Owner-managed limited companies – A clear running balance for each director – overdrawn or in credit – after every transaction.
  • Directors who draw money ahead of dividends – The s455 tax at stake at the year end and the date you must repay by to avoid it.
  • Bookkeepers and accountants – Year-end figures, bed & breakfasting checks, P11D benefit figures and suggested wording for the accounts note.
  • Anyone planning a repayment – What a repayment really achieves – and when re-borrowing it would cancel it out.

Quick start

Up and running in minutes

  1. Example – text
  1. Settings – company & period – Enter the company name and number, and the accounting year end you want to report on. The period start and the s455 payment date (9 months and 1 day after the year end) are calculated for you.
  2. Settings – directors – Enter up to four directors, whether each one is a shareholder, their marginal income tax rate and their loan account balance on the 'Opening balances as at' date. Positive = the company owes them; negative = they owe the company.
  3. Settings – rates – Check the official rate of interest and the s455 rate for each tax year. They are pre-filled for 2024/25 to 2027/28; 2027/28 is an assumption until HMRC confirms it.
  4. DLA Log – Enter every transaction: date, director, description, type and amount (always a positive number). The running balance, period, tax year and bed & breakfasting checks fill in on their own.
  5. Year End & s455 – Check each director's year-end balance, the s455 tax, the date to repay by and any write-off consequences.
  6. Benefit in Kind – Choose the tax year on Settings and see whether any director's loan went over £10,000, the taxable benefit and the Class 1A NI.
  7. Accounts Note & Dashboard – Copy the figures and wording into the accounts, and use the dashboard to see what needs doing before the deadline.
