Payroll Calculator & Payslips

Overview

This workbook runs the calculations of a complete UK payroll for a small employer. You enter each employee once, then each pay day you enter only what changes – hours, overtime, bonus, sick or maternity pay, deductions. The workbook works out PAYE income tax using HMRC's own tax table method, employee and employer National Insurance for every category letter, student and postgraduate loan deductions, workplace pension contributions, net pay and the total cost to you. It then produces printable payslips, a payroll summary, the P32 record of what you owe HMRC each month (with due dates), year-to-date figures and a P60-style annual summary.

Who it is for

Made for people like you

  • Example – text
  • WATCH OUT – This workbook is NOT RTI payroll software. HMRC requires every employer to report each payment on or before pay day using a Full Payment Submission (FPS), and to claim Employment Allowance or recover statutory pay using an Employer Payment Summary (EPS). You must do that with HMRC-recognised software – HMRC's free Basic PAYE Tools works for up to 9 employees, and many low-cost products cover more. Use this workbook to calculate, check, budget and produce payslips, and copy the figures into your RTI submission.
  • Small employers running their own payroll – Accurate tax, NI, loans and pension for up to 25 people, with payslips you can print or PDF.
  • Directors of small companies – Director NI on the annual earnings period, Employment Allowance tracking and the true cost of salaries.
  • Bookkeepers and practice staff – A transparent calculation you can audit line by line – useful for checking payroll software or answering staff queries.
  • Anyone planning pay changes – See the effect of a bonus, a pay rise or a new starter on tax, NI and the HMRC bill before it happens.

Quick start

Up and running in minutes

  1. Example – text
  1. Settings – Enter your business name, address and PAYE references, choose the tax year and pay frequency, and type your first pay date. Check the pay calendar on the right – it lists every pay date in the year.
  2. Employees – Add one row per employee: personal details, salary or hourly rate, tax code, NI letter, student loan, pension and – for new starters – the P45 figures. Keep each person on the same row all year.
  3. Pay Run – Find the block of rows for the period you're paying (the period number is in column B). Salaried staff are paid automatically; enter hours for hourly staff and anything else that changes.
  4. Move the current period on – On Settings, set 'Current pay period' to the period you've just entered. Later periods aren't calculated until you do this, so the HMRC figures and year-to-date totals stay correct.
  5. Check and print – Look at the Payroll Summary and the Dashboard checks, then print or save a payslip for each employee from the Payslip sheet.
  6. Report and pay HMRC – Copy the figures into your RTI software (FPS on or before pay day). Each month, pay HMRC the amount on the P32 sheet by the due date and record the payment.

Key features

  • Payroll for up to 25 employees paid weekly, 2-weekly, 4-weekly or monthly, for 2025/26, 2026/27 or 2027/28.

  • Employee and employer NI for every category letter including directors, student and postgraduate loans, auto-enrolment pensions (relief at source, net pay, salary sacrifice), SSP, SMP and Employment Allowance.
  • Printable A4 payslips, a payroll summary, P32 employer payment record with due dates, year-to-date figures and a P60-style annual summary.
