Restaurant & Café Toolkit

Overview

In hospitality, profit is made or lost a few pence at a time: a supplier puts up the price of crab, a portion creeps up, a popular dish turns out to earn less than it looks, or the rota doesn't come down when trade does. This toolkit brings the two halves of the job together. On the menu side it costs every recipe from your ingredient prices, shows the gross profit (GP) on every dish after VAT, suggests the price you'd need to hit your target, and uses your sales mix to sort every dish into Stars, Plowhorses, Puzzles and Dogs. On the trading side it turns a few weekly figures into food and drink GP %, labour %, prime cost, spend per head, covers per seat and sales per labour hour, with trends and a break-even figure.

Who it is for

Made for people like you

  • Example – text
  • Cafés, coffee shops and tea rooms – Costed recipes for food and drinks, VAT-aware pricing including zero-rated cold takeaway, and weekly KPIs.
  • Restaurants, bistros and pubs serving food – Menu engineering by section, food and drink GP tracked separately, labour and prime cost against targets.
  • Owners and head chefs – A printable recipe card for each dish, price-rise alerts on ingredients and a list of dishes furthest below target.
  • Anyone reviewing prices – A suggested selling price for every dish at its target GP, rounded the way you choose.
  • WATCH OUT – This is a management tool, not your accounts or VAT return. Weekly GP depends on honest stock counts; dish GP depends on accurate recipes and up-to-date prices.

Quick start

Up and running in minutes

  1. Example – text
  1. Settings – Enter your business name, seats, opening pattern, whether you're VAT registered, your targets (food and drink GP, labour %, prime cost %), how to round suggested prices, weekly overheads and opening stock. Check the menu sections match your menu.
  2. Ingredients – List each ingredient with its code, supplier, pack size and unit, pack cost ex VAT and usable yield. Start with the 30–40 ingredients that make up most of your spend.
  3. Dishes – One row per menu item: code, name, section, portions the recipe makes, menu price inc VAT, VAT treatment, any special target GP, and the portions sold over your sales-mix period (from the till).
  4. Recipes – For each dish add one line per ingredient: dish code, ingredient code and the quantity in grams, millilitres or each for the whole recipe.
  5. Menu Costing & Matrix – Review GP and status, the suggested prices, and the class of each dish – then decide what to change.
  6. Weekly Trading – Each week enter food and drink sales ex VAT, covers, purchases ex VAT, closing stock, wages, hours and days open. Read the Trading Report and Dashboard.
