Seasonal Tourism Staffing Planner

Overview

Seasonal businesses live or die by staffing. Too few people in August and service, reviews and revenue suffer; too many in November and wages eat the profit. This workbook starts with what drives your staffing – occupancy, covers and visitors – week by week for a full year. Your own staffing standards turn that demand into hours needed for each of 12 roles. You then decide how to cover those hours: permanent staff, two waves of seasonal contracts, a zero-hours pool and agency workers. The workbook costs the plan every week – pay, holiday pay, employer NI, pension, agency, recruitment, training and staff housing – and shows labour cost as a % of revenue, the weeks and roles where you're short, when to start recruiting, and how two alternative plans compare.

  2. Demand Forecast – Enter last year's figures for the same weeks: occupancy %, restaurant covers, café covers and visitors. Add school holidays and events in the Season column and override any week you expect to be different.

  4. Headcount Plan – Enter permanent staff, the zero-hours pool and agency hours you can get, then your seasonal waves – heads, start and end weeks, hours, pay and age band, and how many live in.
  5. Accommodation – If staff live in, enter beds, what you charge and what each bed costs you.
  6. Check the results – Look at the Dashboard, Wage Costs and Cover Gaps. Fix the gaps and minimum wage warnings, then try alternatives on the Scenarios sheet.
