Stock Tracker

Overview

Stock is cash sitting on a shelf. Too little and you lose sales; too much and your money is tied up in lines that gather dust, go out of date or get damaged. This workbook keeps a full record of every product and every stock movement, values your stock properly (weighted average cost or FIFO), tells you what to reorder and from whom, flags slow-moving and dead stock, values the differences found at a stocktake and gives you the key retail ratios – stock turn and GMROI – on one dashboard.

A walk through the main sheets

The sheets you will use most, in the order you will use them – shown with the sample data every workbook comes with.

Step 1

Products

Your stock list with prices, reorder rules and opening stock. What you do: enter the yellow columns.

Products
Movements

Step 2

Movements

The log of every stock movement. Every report is built from it. What you do: add a row for each movement.

Step 3

Stock on Hand

Quantity, unit cost, value at cost and retail, margin, sales rate, days of cover, status, last sale and suggested order for every line. What you do: nothing to enter – filter it.

Reorder

Step 4

Reorder

Everything at or below its reorder level, grouped by supplier, with suggested quantities and costs. What you do: nothing to enter – use it to place orders.

Who it is for

Made for people like you

  • Example – text
  • Shops and gift retailers – Stock on hand, margin and days of cover for every line, with a reorder list grouped by supplier.
  • Makers and small producers – Record each batch you make as a Purchase at its cost (materials plus your time) and track it through to sale.
  • Online sellers – Weekly or monthly sales totals per product are enough – you don't need to record every order.
  • Your accountant – A stock valuation at any date, cost of sales by month and a reconciliation that proves it adds up.

Quick start

Up and running in minutes

  1. Example – text
  1. Settings – Enter your business name, choose weighted average cost or FIFO, set the opening stock date (the day your opening quantities were counted) and the report date. Check the lists of categories and locations.
  2. Suppliers – Add everyone you buy from, with their usual lead time in days and any minimum order value. If you make your own products, add yourself as a supplier (the sample uses 'Saltwater & Clay Studio (in-house)').
  3. Products – One row per stock line: SKU, name, category, supplier, unit, cost price, selling price ex VAT, VAT rate, reorder level and reorder quantity – plus the quantity and value you held on the opening stock date.
  4. Movements – From then on, log every purchase, sale, return, adjustment, write-off and transfer. Daily, weekly or monthly sales totals from your till (EPOS) are fine.
  5. Check the results – Stock on Hand shows each line's quantity, value, margin, days of cover and status. The Reorder sheet lists what to order, grouped by supplier.
  6. Review regularly – Look at the Dashboard and Slow Movers each month, and use the Stocktake sheet whenever you count.
