Supplier Quotes & Purchase Orders

Overview

This workbook runs your whole purchasing process. Keep a register of approved suppliers with their terms, insurance and accreditations; compare quotes fairly using a weighted score and the total cost of ownership; raise and log purchase orders with approval levels set by value; record what is delivered and what suppliers invoice; and let the 3-way match tell you which invoices are safe to pay. Budgets, spend analysis, late deliveries and a printable purchase order are all built in, and the dashboard pulls it together on one page.

Who it is for

Made for people like you

  • Example – text
  • Owners and finance directors – Control over who can commit the business to spend, and early warning of budgets running out.
  • Purchasing and operations staff – A single log of every order, delivery and invoice, and a fair way to choose between suppliers.
  • Accounts payable – A 3-way match so only invoices that agree with the order and the delivery get paid – plus an accrual figure for month end.
  • Auditors and advisers – Approval exceptions, supplier compliance and a complete audit trail in one place.

Quick start

Up and running in minutes

  1. Example – text
  1. Settings – Enter your business details (they print on every purchase order), the report date, your financial year start, the 3-way match tolerances, your approval levels and the people who can approve orders, with their limits.
  2. Budgets – List your cost codes with a department, budget holder and annual budget.
  3. Suppliers – Add each supplier with an ID, category, contact details, payment terms, any early-payment discount, whether they are approved, insurance and accreditation expiry dates and a 1–5 rating.
  4. Quotes (optional) – For bigger purchases, log the RFQ and up to six quotes. The workbook recommends the best approved supplier.
  5. Purchase Orders – Log each order: PO number, date, supplier ID, requester, cost code, a summary of the lines, net value, VAT rate and required-by date. Record who approved it and keep the status up to date.
  6. Goods Received and Invoices – Log each delivery against its PO number, then each supplier invoice. The 3-way match shows whether the invoice is OK to pay.
  7. Check the Dashboard – Orders awaiting approval, invoices on hold, overdue deliveries, budgets at risk and supplier compliance at a glance.
