VAT Partial Exemption Calculator

Overview

If your business makes exempt supplies (for example healthcare, education, insurance, finance or most residential and commercial rents without an option to tax) as well as taxable ones, you usually can't reclaim all the VAT you pay on costs. This workbook applies HMRC's standard method each quarter, runs all three de minimis tests, works out the annual adjustment and tells you which return it goes on. It also checks the standard method override, keeps a capital goods scheme register and compares the standard method with floor space, headcount and sectorised special methods.

Who it is for

Made for people like you

  • Example – text
  • Dental, medical and care businesses – Taxable cosmetic work and product sales alongside exempt treatment – the recovery % worked out properly every quarter.
  • Property businesses with mixed rents – Opted and un-opted property, with the capital goods scheme for big building costs.
  • Schools, nurseries, training and charities – Exempt education or welfare alongside taxable trading income.
  • Bookkeepers and accountants – A clear, auditable working paper for each client's annual adjustment.

Quick start

Up and running in minutes

  1. Example – text
  1. Settings – Enter your business name, the date your partial exemption year ends (31 March, 30 April or 31 May) and the year it ends in. Choose how you recover VAT during the year and whether you'll make the annual adjustment early.
  2. VAT Periods – For each quarter enter the value of taxable and exempt supplies (excluding VAT) and split your input tax into directly taxable, directly exempt and residual.
  3. Check the de minimis tests – The De Minimis Tests sheet shows whether you can recover everything in each quarter. The VAT Periods sheet then shows the input tax to claim on each return.
  4. Annual Adjustment – After the year end, the Annual Adjustment sheet recalculates the whole year and shows the adjustment, the return it goes on and whether it increases or reduces Box 4.
  5. SMO Check – Enter your best measure of how residual costs are really used to see whether the standard method override applies.
  6. Capital Goods & Special Method – List any big property, vessel or (pre-29 July 2026) computer purchases, and try alternative methods to see whether a special method is worth discussing with HMRC.
