Event and Private Hire Booking Terms

About this document

What it’s for

Contract terms for customers who book a private room, area or the whole venue for a party, wedding, wake, corporate event or private dining. They protect your deposit and minimum spend, set fair cancellation charges, make the organiser responsible for guests and damage, and keep events within your licence.

When to use it

  • For any booking with a hire fee, deposit, minimum spend or pre-ordered menu
  • For consumers (birthday parties, weddings) and businesses (corporate events) alike
  • Alongside your table booking terms, which cover ordinary reservations

  • Complete Schedule 1 for each booking and send it with these terms before taking the deposit
  • Ask the organiser to sign, or tick a box online confirming they accept the terms

Key points to check

  • Consumer law limits unfair cancellation and deposit terms – see the notes to clauses 5 and 9
  • Check your licence hours and whether a temporary event notice is needed for late finishes
