Job Description and Person Specification

About this document

What it’s for

A template for describing a role: its purpose, main responsibilities, measures of success, working relationships and conditions, together with a person specification setting out the skills, knowledge and experience needed. It supports fair recruitment, objective probation reviews and appraisals.

When to use it

  • When recruiting, before you advertise
  • When a role changes or is reviewed, or for a new starter’s induction
  • As the reference point for probation, appraisal and pay decisions

What’s inside

The document is laid out in the sections below. Each one comes with a plain-English guidance note explaining what it does and what to change.

  • 1. Job details
  • 2. Purpose of the role
  • 3. Main responsibilities
  • [RESPONSIBILITY AREA 1 – FOR EXAMPLE: CUSTOMER SERVICE]
  • [RESPONSIBILITY AREA 2 – FOR EXAMPLE: ADMINISTRATION AND SYSTEMS]
  • [RESPONSIBILITY AREA 3 – FOR EXAMPLE: FINANCE AND RECORDS]
  • Responsibilities that apply to every role
  • 4. Measures of success
  • 5. Working relationships and scope
  • 6. Working conditions
  • Equal opportunities and adjustments
  • Acknowledgement
  • Purpose of the role
  • Customer and visitor service
  • Office administration
  • Finance support
  • Example measures of success

How to complete it

  • Complete the job details table and write a one-paragraph purpose
  • List 6 to 12 main responsibilities under headings, starting each with a verb
  • Complete the person specification and say how each criterion will be assessed
  • Use the worked example at the end for ideas, then delete it

Key points to check

  • Every “essential” criterion must be genuinely necessary for the role
  • Avoid wording that could indirectly discriminate (see the guidance notes)
  • Keep the job description non-contractual so it can be updated
